1. About this system

This is a private resource system run by BEM Charis for its members, volunteers and ministry teams. It is for church use only. It is not a public website.

2. Who may use it

• Only people who have been given an account by the church.
• Your account is personal. Please do not share your password, passkey or verification codes.
• Tell us right away if you think someone else has used your account.

3. Using the resources

• Files are shared for church ministry use. Please do not copy, post or share them outside the church without permission from the ministry leader or admin.
• Some materials (music, videos, slides) may belong to other owners. Please respect their copyright.
• Do not try to break into the system, view files you have no access to, or upload harmful content.
• The church may suspend or remove an account that is misused or no longer needed.

4. What information we keep

• Account details: your name, username, email, phone number and ministry.
• Sign-in security: your password (stored in scrambled form only, we cannot read it), your two-step verification secret (encrypted), and passkeys (only a public key, never your fingerprint or face).
• Activity records: sign-ins, devices and approximate network address, and admin actions. These help us keep the system safe.
• Your choices: favourites, profile picture, theme and notification settings.
• Files: the resources themselves are stored in the church's Google Drive.

5. How we use it

Only to run the system: to let you sign in, show you the resources you are allowed to see, send emails such as password resets and the weekly new-files email, send notifications you have turned on, and protect the system from misuse. We do not sell your information and we do not use it for advertising.

6. Who can see it

• Church admins can see member details and activity records needed to manage accounts.
• Our service providers process data only to run the system: Cloudflare (hosting, database and bot check), Google (file storage) and Resend (email delivery).
• We will only share information with others if the law requires it.

7. Cookies and similar storage

We do not use advertising or tracking cookies. Your browser keeps a few small items that the system needs to work: your sign-in session, your theme and settings, and a saved copy of the app so it loads faster and works offline. The sign-in check uses Cloudflare Turnstile, which may set its own small items to tell humans from bots. You can clear these in your browser at any time, but you will be signed out.

8. How long we keep it

We keep your account while you are a member. When an account is removed, its personal details are deleted. Activity records and backups are kept for a limited time for security, then removed.

9. Security

We use passwords, optional passkeys, two-step verification for admins, an automatic sign-out after inactivity, and encrypted connections. No system is perfectly safe, so please use a strong password that you do not use elsewhere.

10. Your choices

You may ask to see, correct or delete your information, or to close your account. You can also update your own details on your Profile page.

11. Changes

We may update this page from time to time. The date above shows the latest version. Continuing to use the system means you accept the current version.
